There is a growing need to record and trace vaccination status of employee populations. To cater for this need, the Certification module has been updated.
A default certification type code to use VACCINE has been introduced. It will be the default type to use for COVID-19 Certificates. Customised certification types can still be added via Certification Types screen.
The Certification screen has been updated to allow a certification to be configured, whether Require Attachment or Confidential. Certification extractor (E052) is updated accordingly.
More on confidentiality protection - Confidential Certifications (Activity ID M001801) is added to Preceda Access under SECURITY module. Users having Use Access to this Activity ID shall be able to maintain or delete existing confidential certifications, review employee’s confidential certifications and extract relevant information.
Certifications Obtained
The Certifications Obtained screen has been enhanced to support the adding and reviewing of attachment per certificate, and to show gap analysis results (i.e. as seen in the Status column).
Drilling down to each certification record, you can add comments when applicable
By giving Add, Update, Delete access to Activity ID S000080, the above features will be made available via ESS to employees. Certification Obtained extractor (E506) is updated accordingly.
Certification Gaps
Additional criteria are added to identify whether a certification Gap exists for an employee.

It has not been obtained.
-
It has already expired.
-
It will only become active in the future (the obtained date is in future).
-
It requires an attachment, but none has been provided.
The Certification Analysis Process, which identifies the gaps for required certificates, has been adjusted to align to the new conditions stated above. Certification Analysis extractor (E507) is updated to consider the user's Preceda Access to Confidential Certifications (M001801) when retrieving records.
Extractor and Mapper Updates
Likewise, Certifications Obtained History extractor (E508) is updated to consider the user's Preceda Access to Confidential Certifications (M001801) when retrieving records.
New mappers are introduced to support associating certifications with employees or with position:

There are five (5) new Certification related Alert Templates that can now be setup and configured via the Alert Setup screen. Below is the list of the new Alert Templates with their descriptions

Confidential Certification Expiry Alert - this alert template allows the monitoring of expiring confidential certifications. It is an equivalent to the existing Certification Expiry alert template, which monitors non-confidential certifications.

Employee Certifications Gaps Alert - this alert template allows the monitoring of non-confidential certification gaps per employee (i.e. employee is required to obtain a certification but the certification is not obtained, expired or required attachment not found). It can also be used to notify people about employees who have not obtained a certain certification, whether required or not.

Confidential Employee Certifications Gap Alert - this is the equivalent to the Employee Certifications Gaps alert template. It monitors the confidential certifications.

Position Certifications Gaps Alert - this alert template provides a similar capability as the Employee Certifications Gaps alert template, except for that you could further specify the alert criteria to be for a specific position.

Confidential Position Certifications Gaps Alert - this is the equivalent to the Position Certifications Gaps alert template. It monitors the confidential certifications.
The employee certification gap stat in System Health Check is now replaced with the message configured in Employee Certifications Gaps alert, which can be customised or removed.
Payroll

The Year End process in the Philippines has been updated to generate the Annual Alphalist 1604 Schedules for employees in the new format required by the BIR. Please note that this update does not require any changes to the processing steps performed to complete the Year End reporting.
The Year End Reconciliation process will now check that all information for the three new reporting requirements (Nationality, Employment Status and Separation Reason / Cessation Type) is existing for employees and will provide warning messages if this information is missing.
When the Create Alpha List Files process is run, the generated 1604C Schedule files will be output to the Datafiles tab of the Console. The new format includes Schedule 1 and Schedule 2 information in the one file, unlike previous years where each Schedule was in a separate file.

For customers using or implementing the HSBC iFile bank format, new options have been added to identify how the Authorization Type and Payment Code fields are to be populated. The information for these fields will now be sourced from Program Control HSBCI.
Changes have also been applied to the 2nd Party Reference information on the detail records to ensure that the maximum length of 12 characters supported by HSBC is not exceeded.

The Public Holiday functionality has been updated to support partial public holiday. If you have future Public Holidays defined as being less than 1 day, and employees entitled to the Public Holidays put in new leave applications, the system will split the leave application into the Work Hours / Days Away part and the Public Holiday Hours / Days Away part automatically.
Example:
24/12/2021 is setup as a 0.5 day of Public Holiday for employees in Company A and State SA.
An employee is scheduled to work 7.6 hours on 24/12/2021 and applies for a leave on that day. The leave application will automatically be split into:

3.8 hours of work hours away and,
-
3.8 hours of public holiday hours away
The split will then flow through to Time and Payroll via Import Self Service processes like how it works now.
The auto-split will happen when leave is applied via ESS My Leave desktop / mobile, Leave Application mapper (M001392) and Leave by Proxy.
Overriding auto-split is still supported as how it works now. If the override happens in Leave Calendar via ESS My Leave, the system would work out the public holiday hours/days away part first, then the remainder would be regarded as work hours/days away.
The Public Holidays screen and mapper (M000065) has also been updated with additional validations to the Days field. Only value between 0 to 1.0 (including) would be allowed.

Updates are made so that prior period auto pay reversal contra transactions can also be suppressed in below situations:

When running pays via Express Pay Wizard: To do that, tick the Suppress Prior Period Reversals field on the Selection screen in the Wizard. The same applies to the Termination Wizard.

When running Off-Cycle payruns: To do that, untick Auto Pay on Payrun Header and auto pay reversal contra transactions will be suppressed for all employees in the payrun.
